EXECUTIVE SUMMARY
Recommendation to approve the First Amendment to Contract 18-7281R, Tourism Fulfillment and
Call Center Services, to reflect new and revised costs to include freight and shipping, as needed, for
Fulfillment Services, and make a finding that this item promotes tourism.
OBJECTIVE: To approve the First Amendment to Contract 18-7281R, Tourism Fulfillment and Call
Center Services, to reflect new and revised costs to include freight and shipping, as needed, for
Fulfillment Services.
CONSIDERATIONS: Tourism Fulfillment and Call Center Services Agreement 18-7281R was
approved by the Board on October 9, 2018 (Agenda Item 16F4). The contract provides fulfillment
services for tourism information, including a call center to answer inquiries from calls, publication
responses and the Internet. Fulfillment services cover distribution of tourism literature from the
Convention & Visitors Bureau to requesters, managing mailing lists, and managing the hotel inventory
during emergency situations.
On November 5, 2019, the Contractor informed staff that the current Fulfillment services subcontractor
would be closing. The Contractor was able to locate another subcontractor in-state that is able to assume
these fulfillment responsibilities.
Staff is seeking to update the contract to reflect new and revised costs for freight and shipping, as needed,
for all Fulfillment services. This contract to date has incurred freight costs in the amount of $542.01 that
require authorization for payment.
FISCAL IMPACT: The amended contract amount is up to $71,772.97 annually, for call center services
of $21,772.97, and fulfillment services not-to-exceed $50,000. Funding is included in the FY 20 Tourism
Division budget in Tourist Development Tax-supported Tourism Promotion Fund (184).
GROWTH MANAGEMENT IMPACT: There is no Growth Management Impact associated with this
Executive Summary.
ADVISORY BOARD RECOMMENDATION: The Tourist Development Council recommended
approval of this item 9-0 at the January 27, 2020 meeting.
LEGAL CONSIDERATIONS: This item is approved as to form and legality and requires majority vote
for approval. - CMG
