EXECUTIVE SUMMARY
Recommendation to extend an existing contract with Gillig, LLC under Agreement # 15-6479,
“Gillig Bus Parts,” for a period of six months to allow staff to complete a new solicitation and
prevent a lapse in this service.
OBJECTIVE: To ensure availability of parts and services for County equipment without a lapse in this
service.
CONSIDERATIONS: The Board approved the existing agreement with Gillig on September 22, 2015
(Agenda Item 11.J.) to maintain County equipment through an approved network of vendors and
dealerships for parts and supplies. This Purchase Order driven agreement is scheduled to expire on
September 30, 2019, and staff is recommending that it is in the best interests of the County to extend the
term for an additional period of up to six months while conducting a new solicitation to prevent a lapse in
this service.
Staff initially pursued a sole source procurement as Gillig LLC is the sole provider of OEM parts for
Gillig Equipment; however, because grant funds will be utilized, it is necessary to formally solicit and
meet all grant requirements resulting in this extension request.
This extension will revise the current expiration date of September 30, 2019 to March 30, 2020, or until a
new contract is awarded, whichever is sooner.
FISCAL IMPACT: Funds are available in the Fleet Management 521 fund.
GROWTH MANAGEMENT IMPACT: There is no direct impact on the Growth Management Plan.
LEGAL CONSIDERATIONS: This item is approved as to form and legality, and requires majority
vote for Board approval.-SRT
