Agenda 06/09/2009 Item #16E 4 Agenda Item No. 16E4 June 9, 2009 Page 1 of 4 EXECUTIVE SUMMARY Recommendation to Award Bid #09-5250, Furniture Relocation Services for the New Collier County Courthouse Annex, to Office Furniture and Design Concepts, Inc. in the amount of $64,100.00. OBJECTIVE: To obtain approval for the award of a $64,100.00 contract to Office Furniture and Design Concepts, Inc. for furniture moving services to disassemble, relocate, and reassemble the existing Clerk of Courts' systems furniture and relocate/move the existing Clerk of Courts' case goods (desk, chairs, file cabinets and all other non-system furniture) to accomplish moving the Clerk of Courts functions from their present location, in the Courthouse (Bldg. L) and in the Administration Building (Bldg. F), to their programmed new locations on the first through fourth floor of the new Annex, Project 52533.1. The departments moving into the Annex are Traffic, Cashiering, CollecUons, Recording, Administration & Training, Criminal, and Civil. CONSIDERATIONS: On April 30, 2009 Collier County Purchasing posted the solicitation for bids to relocate and reconfigure the existing systems furniture for the Clerk of Circuit Courts for the new Courthouse Annex project. ,.- Electronic notifications were sent to one hundred and thirty six (136) registered firms with fifty (50) firms downloading the bid document. A mandatory pre-bid conference was held for overview and clarification of the bid package, in which four (4) firms participated. On the due date, May 21, price submittals were received from three (3) firms with Office Furniture and Design Concepts being the lowest responsive and responsible bidder meeting the specifications. A copy of Purchasing's bid comparison is attached. FISCAL IMPACT: The cost for this recommended award was anticipated and sufficient funds were budgeted within the project's approved, capital budget. LEGAL CONSIDERATIONS: This item is not quasi-judicial and as such ex parte disclosure is not required. This item requires majority vote only. This item is legally sufficient for Board action. - CMG GROWTH MANAGEMENT IMPACT: There is no impact on the Growth Management Plan. RECOMMENDATION: That the Board of County Commissioners approves the award of Bid# 09-5250, to Office Furniture and Design Concepts, Inc. for moving service to disassemble, relocate, and reassemble the existing systems furniture and relocate/move the existing case goods (desk, chairs, file cabinets and all other non-system furniture) in the amount of $64,100.00 to support the programmed move of the Clerk of Courts functions into the newly completed Courthouse Annex.
