Recommendation to award Bid No. 09 -5143, "Electrical Parts and Supplies" to
Graybar Electric, Mayer Electrical Supplies and World Electric Supply for the
purchase of electrical parts and supplies for an estimated annual amount of
$110,000.
OBJECTIVE: To obtain approval from the Board of County Commissioners to award Bid No. 09-
5143 "Electrical Parts and Supplies" to Graybar Electric, Mayer Electrical Supplies and World
Electric Supply for the purchase of electrical parts and supplies for an estimated annual amount of
$110,000.
CONSIDERATION: The Department of Facilities Management is responsible for the repair and
maintenance of the County's many electrical and lighting systems. In conjunction with the
Purchasing Department, a bid package was created for the purchase of goods and materials
relating to electrical parts and supplies.
In an effort to provide competitive electrical supply vendors, a formal bid was prepared to solicit
competent electrical supply vendors. On October 27, 2008, formal bid notices were posted and
distributed to 123 vendors. On November 13, 2008, bids were opened from four qualified firms, one
of which was determined to be non - responsive.
Staff has reviewed the bids and recommends award to the three responsive and qualified bidders:
Graybar Electric, Mayer Electrical Supplies and World Electric Supply. Items are awarded on a line
by line basis from the bid submissions.
FISCAL IMPACT: Annual expenses for electrical parts and supplies total an estimated $110,000.
Funds are budgeted under the Facilities Management operating budget cost center 001- 122240.
LEGAL CONSIDERATIONS: This item has been reviewed and approved by the County Attorney's
Office, is not quasi - judicial and requires no ex parte disclosure, requires only a majority vote for
approval, and is otherwise legally sufficient for Board action. —SRT
GROWTH MANAGEMENT IMPACT: There is no growth management impact associated with this
request.
RECOMMENDATION: That the Board of County Commissioners awards Bid No. 09 -5143
"Electrical Parts and Supplies" to Graybar Electric, Mayer Electrical Supplies and World Electric
Supply for the purchase of electrical parts and supplies.
