EXECUTIVE SUMMARY
Recommendation to approve the award of ITB No. 12 -5823, "Maintenance Minor
Repairs," to BQ Concrete LLC, as primary; FA Remodeling and Repairs, Inc., as
secondary; and WM. J. Varian Construction Company, Inc., as tertiary. The annual
estimated amount associated with the contract is approximately $70,000.
OBJECTIVE: To obtain approval from the Board of County Commissioners to award ITB No. 12 -5823,
"Maintenance Minor Repairs," to the qualified vendors listed above.
CONSIDERATIONS: The Department of Facilities Management is responsible for the maintenance and
repair of all County-owned properties.
The County uses outside contractors to provide competitive and timely work associated with building
maintenance. Services include, but are not limited to 'the following: door repairs and installations;
window replacements and repairs; pressure washing; construction and/or installations of cabinets; drywall
installations and repairs; carpentry; gutter installations, cleaning, and repairs; furniture repairs; and minor
renovation work. Work may also include maintenance repairs to exterior building walls including
concrete stucco, aluminum siding, and fascia, as well as a broad range of other materials. No single job
may exceed $3,000.
The County posted ITB No. 12 -5823 on March 2, 2012; and one thousand five hundred and twenty-two
(1,522) notices were sent out and fifty -six (56) solicitations were downloaded. Eleven (I1) bids were
received and three (3) qualified vendors were selected. (See attached bid tabulation sheet.)
Staff is recommending a multiple award by lowest bidder. The selection was determined by a formula that
encompassed hourly rates, markup(s) on parts, materials, and subcontractors. Contractors are to be
utilized in the following order: BQ Concrete LLC, as primary; FA Remodeling and Repairs, Inc., as
secondary; and WM. J. Varian Construction Company, Inc., as tertiary.
FISCAL IMPACT: Funds are appropriated annually in the Facilities Management Operating Budget
(001- 122240) in the amount of $70,000.
LEGAL CONSIDERATIONS: This item has been reviewed and approved by the County Attorney's
Office, is legally sufficient for Board action and only requires a majority vote for approval —SRT.
GROWTH MANAGEMENT IMPACT: There is no growth management impact associated with this
Executive Summary.
