EXECUTIVE SUMMARY
Recommendation to award Invitation to Bid (ITB) No. 15 -6360 for Fitness Equipment Repair and
Purchase to Tropic Gym Tech, LLC.
OBJECTIVE: To identify a commercial equipment supplier who is able to service and repair the
standard fitness equipment for Parks and Recreation facilities.
CONSIDERATIONS: The Parks and Recreation Department is interested in securing a vendor to
perform manufacturer authorized maintenance for its fitness equipment throughout its various sites. The
current contract expires on January 10, 2015.
A new invitation to bid was posted by the Purchasing Department on October 10, 2014 and the
solicitation was opened on October 22, 2014. Bid notices were forwarded to one hundred and ninety five
(195) email addresses. Twenty one (21) addresses downloaded the solicitation documents, one (1) vendor
indicated a "no -bid" status, and one (1) vendor submitted a responsive bid. The bid received was from
Tropic Gym Tech, LLC. Vendors were asked to provide an hourly service rate which is expected to
remain firm for the first year of the contract.
Parks and Recreation staff reviewed the bid and recommends award to Tropic Gym Tech, LLC as the
responsive bidder. The Department will issue the County's standard Purchase Order or use the County's
P -card to procure services through this ITB.
FISCAL IMPACT: The annual estimated contract amount is approximately $51,000 and is budgeted
every fiscal year within various cost centers in General Fund (001) and MSTD General Fund (1 11).
LEGAL CONSIDERATION: This item has been approved as to form and legality and requires a
majority vote for Board approval. - ERP
GROWTH MANAGEMENT IMPACT: There is no growth management impact associated with this

RECOMMENDATION: That the Board of County Commissioners award ITB No. 15-63 60 for Fitness
Equipment Repair and Purchase to Tropic Gym Tech, LLC.
