EXECUTIVE SUMMARY
Recommendation to approve the Second Amendment to Agreement# 14-6277 “Facility Event
Coordinator” with CaterMasters, Inc., removing renewal options and honoring pre-booked events.
OBJECTIVE: To honor pre-booked events while moving toward internal administration of the Museum
Division’s after-hours rental program.
CONSIDERATIONS: On September 23, 2014, the Board approved an agreement with CaterMasters,
Inc. to implement and professionally manage, promote, and coordinate rental of Museum facilities for
private functions after normal business hours. (Agenda Item# 16D19). The agreement was amended once
to add the Museum of the Everglades as a venue under the purview of the contract.
The initial three-year term of the agreement was scheduled to expire on September 23, 2017. Prior to the
expiration date, the parties formally extend the agreement through January 9, 2018 and agreed to remove
the renewal options from the agreement, effectively ending the agreement this coming January.
The parties also agreed to proceed with events that are currently booked and are scheduled between now
and the revised expiration date. The amendment was delayed due to Hurricane Irma. Staff is requesting
that the Second Amendment become effective as of September 22, 2017.
As a separate item for the Board’s consideration, the Museum Division will be bringing forward a fee
policy and any additional necessary documents to allow the Division to self -administer its after-hours
rental program.
FISCAL IMPACT: Fiscal Year 17 receipts under this agreement totaled $2,767.38. This is down
significantly from the $6,194.40 collected in FY16 and the $8,095.42 collected in FY15. The Division has
budgeted $5,000 in revenue from a self-administered program for FY18.
GROWTH MANAGEMENT IMPACT: There is no growth management impact.
LEGAL CONSIDERATIONS: This item is approved as to form and legality, and requires majority
vote for Board approval. -SRT

“Facility Event Coordinator” with CaterMasters, Inc., with an effective date of September 22, 2017.
