Agenda 01/14/2025 Item #16J 7 (To Increase the current budget for County-Wide Capital Fund for the CCSO telephone upgrade)1/14/2025 Item # 16.J.7 ID# 2025-17 Executive Summary Recommendation to authorize the execution of a Budget Amendment to realign current funding within Collier County Capital Project Fund (3001) in the amount of $635,000 to allow for the reimbursement of funding to the Collier County Sheriff’s Office for the upgrade and expansion of the telephone system for law enforcement (Project No. 50322) in year one of the project to accommodate the timing of building preparations required for the project. OBJECTIVE: To increase the current budget in the amount of $ 635,000 for County-Wide Capital Fund (3001) for the CCSO telephone upgrade (project 50322). CONSIDERATIONS: To successfully complete the project within the two year period, a budget modification is needed to move $635,000 to year one (FY25) for a total of $1,000,000. The remainder of $795,104 for the project would be included in the FY 2026 budget request. A substantial amount of labor is required in this project to rewire several facilities utilized by CCSO law enforcement personnel across the county, switching out the original Category 3 networking cable, to Category 5/6 cable to support the new Cisco/Webex IP Telephone system. This work will take several months to prepare twelve sites for the new hardware, requiring this portion of the project to commence as soon as possible in order to complete the work prior to the end of FY 2026. The maintenance contract for the aged equipment is set to expire at the close of FY 2026 and would require a newly negotiated contract and additional costs to continue telephone services if the new system is not fully in place and operational by then. FISCAL IMPACT: A budget amendment in the amount of $635,000 is necessary to reallocate funding within County Wide Capital Fund (3001) from Government Operations Business Project No. 70167 to CCSO Phone Project No. 50322 to allow for the FY 2025 reimbursement of CCSO-related expenses for this project. The remaining project funding will be included as part of the FY 2026 budget request. GROWTH MANAGEMENT IMPACT: There is no growth management impact associated with this action.
