CALL TO ORDER Ms. Tuff called the Meeting to order at 6:05 PM. IL ATTENDANCE/ESTABLISH A QUORUM Roll Call was taken, Mr. Bretzmann was not present, a quorum was established. III. APPROVAL OF AGENDA Ms. Tuff entered a motion to approve the Meeting Agenda, Ms. Zenti, and the motion was seconded by Mr. Brice. All members that were present were in favor. The motion was carried. IV. APPROVAL OF MINUTES — August 1, 2022 Ms. Tuff entered a motion to approve the Meeting minutes from August 1, 2022, Ms. Zenti approved, and the motion was seconded by Mr. Brice motion. V. PUBLIC COMMENTS None at this time. There were no members of the Public present. VI. OLD BUSINESS a.) SUMMER CAMP & SUMMER PROGRAMS We got all the Survey Evaluations from Summer Camp back. Overall, the responses were good, and we got some really good feedback from them. b.) FALL PROGRAMS PLANNING All the Fall Programs have been entered into ActiveNet and are ready to go. With our Flag Football we didn't have the number of participants to run it this session, so we just pushed the registrations back to the next session. Mr. Tuff asked what type of marketing was done for the program. Mr. Coriano said that they had used the standard channels. Mostly the Collier County Parks website. They are now linking events to Facebook and Instagram. c.) CARNIVAL SCHEDULING Last time we met the dates for the carnival were not available yet. We have them now and they are: Snow Fest weekend — December 1-4, 2022 February 16 - 19, 2023 The first time they were here the space for the carnival was constrained by Snow Fest. The set up for the carnival for these dates will be like the last time they were here, with the extended set up where they can extend into the back parking lot. Ms. Tuff asked if we were still going to have a Santa's Breakfast. Mr. Coriano said that they would be having a Santa Celebration, probably that same weekend as the carnival, December 2na. Parking was an issue for it last year, but that was because of Snow Fest. N N 0 N `m E m a a� Packet Pg. 676 19.A.3 VII. NEW BUSINESS a.) PARKS & RECREATION REGION # 2 RE-ORGAIZATION Mr. Coriano introduced the Interim Department Head of Public Services, Tanya Williams to the Board. He referenced the new organizational chart that had previously been distributed to the Board. Ms. Williams explained she is still the Interim Department Head, but she plans of staying. There are a lot of people that are still operating at an interim capacity. She was used to divisions being aligned with voting commissioners. Part of the reason for the re -organization of the Parks & Recreation Regions was to realign the regions with voting commissioners in the area. It made sense to have five commissioners and five Parks & Recreation Regions. There is still a vacancy for the 5th Region manager position, but they were working it out in the interim. Mr. Hopkins said that he was going to remain at the Regional Manager for Region # 2. This Region will now include GGCC, Max Hasse, and AIR/GGCP. So, the Region now really is Golden Gate. He said that he wanted to see if they could get Sid (Max Hasse], Kory (GGCP), and Monica (AIR) to attend the next meeting. We hope to be having a lot of collaboration with these other parks. Mr. Coriano said that in some sports areas that we might be lacking in big sports programs, the other parks in our Region may have something that we are missing, and we could partner with them on that. b,) FY 2023 GGCC BUDGETCD 00 Mr_ Coriano said that he had a chance to review the last Budget compared to what the M Budget was going to be. This is going to be his first year to be fully staffed. He had wanted to N review it to make sure that the relevant values were increased accordingly. He was also N looking at the line current ad valorem, there was actually shows an increase for next year. Mr. Hopkins wanted to point out that this copy of the FY 2023 Budget that the Members L d received was just an overview of the Budget and that they would get a more detailed breakdown of the Budget later. a as Ms. Tuff suggested that the Members take the Budget home for review for discussion at the next meeting. It was the Board's understanding that the Budget had already been passed. m Ms. Williams said that the Budget had not been approved yet, the Budget that the Members had was still tentative. It would remain tentative until next Public Hearing, Thursday, 09/22/2022, at 5:05PM. This will be a final review for the Board to set the millage rate. She said that she didn't foresee any changes. On Tuesday, 09/27/2022, the Budget will be formalized at the BOCC Meeting. It will be finalized by the time the Board meets on October 3rd. The SAP for the fiscal year will not be open until October 3rd, but at some point, that day you should be able to get in and pull SAP. Ms. Tuff noted that in the past the Board had been able to approve the Budget before it goes to the BOCC. �. Ms. Williams said that she was aware of the issue and that it will be corrected. In the past other divisions had greater access to the software platform that helps us create this Packet Pg. 677 19.A.3 document. She didn't realize that this was not still being done. Directors will have regular access to this document as these budgets are being formulated for the next fiscal year, and the Advisory Board. She gave her guarantee that it would not occur again. Ms. Tuff said that at one point, at each meeting, Vicki had given the Board a budget by month and that was really helpful. Mr. Coriano said that he could do that for the Board with the information that he could pull from SAP. We will have that report for all the other meetings for the Board. c.] HALLOWEEN FAMILY MONSTER BASH - Friday, October 21, 2022 Mr. Hopkins said that there is going to be large Halloween special events at NCRP (Boo- tacular) and Max Hasse the following weekend, and he was hoping for good numbers for both their and our weekend events. Most people that attend Halloween events tend to go to 3 or 4 of them. We were hoping that this event would be a kick-off event for the Halloween season. Mr. Coriano said that ENCP had their Halloween event scheduled for the same date as ours, but they ended up cancelling it He had talked with Cathy and they both decided to do kind of a co-op Halloween event. This year there will be a DJ with dancing in the gym with the side doors open so that people can move to the courtyard/foyer area for games and activities and on to the back parking lot for food trucks/vendors. There will be activities for kids and adults. He said that he had also spoken with CCSO for them to come and set up Trunk or Treat; they said they would be there. Mr. Hopkins said that we would be giving flyers to the businesses/organizations that area going to be there so that they can also promote the event. N d.] HEALTHCARE NETWORK PARTNERSHIP 0 Mr. Coriano said that CCSO (Cathy Jewett) is back with their Youth Outreach Program for the Fall for one day a week. They had been looking for years for an appropriate space. They had been down by the courthouse. Even CCSO saw that it wasn't very contusive for the aD kids/families. Q. Now we are partnering with Healthcare Network. They just built that huge facility on 951. in He spoke with Jean Paul there. They want to have the opportunity to connect with the ' community here in Golden Gate. They specialize in healthcare for low-income populations. They asked to come out during the Farmers Market on Saturdays. He had already talked a� with Joey, who is really good with support programs like that. He just asked how much space they need, and he can set them up wherever they want. They want to also come out to a our special events. They are willing to do free COVID screenings, etc. They could bring the healthcare bus out there; anything we want. Ms. Tuff Suggested that they could come out during Holiday Camps and Summer Camp to service the community. Mr. Hopkins said that he was really excited about the partnership because now he can get them in contact with GGCP and Max Hasse to really cover Golden Gate. Mr. Brice asked if the food drive was still coming on Wednesdays. Packet Pg. 678 19.A.3 Mr. Coriano said that Harry Chapin comes every Wednesday morning and Meals of Hope come on Thursday (2:OOPM-4:OOPM) afternoons in the back parking lot. Now the food distribution that is normally at the Senior Center on Friday mornings needs more space, so they will be moving to our back parking lot on Friday from 9:00AM-1:00PM. Mr. Brice said that maybe the Healthcare Network could bring the bus out on Wednesdays. Mr. Coriano said that he will talk with Wayne (Meals of Hope) to see if that was okay. He doesn't have a problem with other organizations being out there at the same time. VIII. MEMBER COMMENTS Ms. Homar-Ramos asked if there was a huge need in Spanish community for help with getting citizenship? Mr. Coriano said that there wasn't a large need for it. That whenever we do encounter someone that is asking about citizenship, we refer them to the Passport Office over at the Tax Collector's building, or also to have them call 311. We don't that many folks just coming in and asking about immigration paperwork or stuff like that. The Venezuelan organization, they have a group has a service that helps Spanish speakers get/work towards their citizenship. He wasn't sure how much they market that information. Ms. Williams said that we should also refer those people to the library. They have groups/citizenship study programs and materials available. Ms. Zenti said that the Senior Center also had a class, but she wasn't sure if they still did. -"` Ms. Zenti said that she had two points to make. (1) When she was driving West on Golden Gate Parkway that afternoon, she couldn't see the GGCC sign because the tree branches were blocking it. So that needs to be trimmed back. (2) First Tee is for the entire county. The program is starting and it's going to be a great program for kids. She is very excited for this program. Ms. Tuff said that it felt cool in the room (Room C), so she assumed that AC was fixed. Mr. Coriano said that this month's monthly report under the Facilities section he put all the AC units are operational. We still have the old unit; they brought in parts for the old unit (the humidifier). We had a new unit installed up front, but now whenever it rains really hard the drainage water backs up and floods out into his office from the front desk area. Facilities says the gurgling noise is, when it rains really hard when the rain is flushing down the system, and one of the pipes is connected to that and there is an overflow. It flows into that one particular pipe now. Facilities cannot snake the system; we don't have the space for it. They don't have the blueprints for the building, so they don't know which pipe to look for. They are aware of it; the Work Order is still open. As of right now, no one can figure out why there is that backflow. Ms. Tuff said that need to be addressed soon and quickly as GGCC is a hurricane shelter. She said that she also wanted to that Ray for the wonderful set up for the September 11th Memorial and for the set up for the GG Civic Association Candidate Forum on Monday (09/12/2022). Mr. Coriano said that he did get some good pictures from the event. He will send those to ,-� Peg to be put up on the website, etc. N N O N L d E m a a� Packet Pg. 679 19.A.3 Ms. Tuff said that every year the Collier County Sheriff's Office does its Safe Community event here at the Community Center, but this year it's being held at Cornerstone Church. They asked if the Civic Association would have a booth there; she said no. They said they have a big district, and it wasn't fair to always have the event in Golden Gate City. The thing is they won't have the turn out that they would have here because our community is so close. So that won't be at the Community Center this year. Mr. Brice was going to thank Kaydee for her letter. Ms. Tuff had said at the last meeting that she was going to write a letter about the AC. He said that since Ms. Williams was there, he thought he should bring up that the Board had talked about a pavilion for the Open Field. We had talked about a grant that was awarded that we had that we never used. Maybe we could get the grant to come back in. Maybe on the next Budget we could put that in for next year. Mr. Coriano said that if Tanya wanted to get with him later, he could explain what Mr. Brice was referring to about the grant IX. ADJOURNMENT With no further topics for discussion, Ms. Tuff motioned to adjourn the Meeting, Ms. Zenti approved, Mr. Brice seconded the motion, and all agreed. The Meeting was adjourned at 7:14PM.
