EXECUTIVE SUMMARY
Recommendation to authorize an $146,000 budget amendment recognizing carryforward for two
purchase orders that did not roll from FY 2019 to FY 2020.
OBJECTIVE: Obtain Board authorization for a budget amendment to recognize carryforward in the
amount of $146,000.
CONSIDERATIONS: At year-end, there is a procedure to “roll-over” purchase orders from FY 2019
into FY 2020 by notifying the Purchasing Division. Two purchase orders for the Courts IT Fund (178)
were not included on the list as follows:
A purchase order was issued early in September for $134,000 and a request was made to roll this
purchase order into FY 2020, however it was missed and closeout at September 30 th.
The second purchase order for $12,000 was missed in error due to staff confusion and did not get
included on the roll-over list.
Since these items were budgeted for in FY 2019 and no expense was incurred, the cash is still available in
FY 2020. Therefore, Courts is requesting a budget amendment to recognize carryforward revenue in
order to pay these invoices.
FISCAL IMPACT: A budget amendment in the amount of $146,000 is needed to recognize
Carryforward revenue and increase expenses within the Court IT Fund (178). The source of funding is
from unspent money in FY 2019.
GROWTH MANAGEMENT IMPACT: There is no growth management impact associated with this
request.
LEGAL CONSIDERATIONS: This item has been reviewed by the County Attorney, raises no legal
issues, and requires majority vote for approval. -JAK
