Agenda 11/13/2018 Item #16A3311/13/2018 EXECUTIVE SUMMARY Recommendation to extend the contract awarded to Southern Signal & Lighting, Inc., and Simmonds Electrical of Naples, Inc., under RFP # 14-6229, “Installation & Maintenance of Traffic Signals and Roadway Lighting,” for six months or until a new contract is awarded. OBJECTIVE: To ensure on-going traffic signal and roadway lighting services to the County until a new contract is approved by the Board of County Commissioners (Board). The “Installation & Maintenance of Traffic Signals and Roadway Lighting” contract is primarily used to perform routine and emergency traffic signal installation, maintenance and repair as well as roadway lighting installation, maintenance and repair on an as-needed basis. CONSIDERATIONS: The Board originally approved the award of the contract on June 10, 2014, for an initial one-year term, with three additional one-year renewals. All three renewals have been used and an additional six-month extension is now set to expire on December 6, 2018. Another solicitation for these services is in process. Staff is requesting approval to extend the current under RFP # 14-6229 “Installation & Maintenance of Traffic Signals and Roadway Lighting” for an additional six months, through June 6, 2019, or until a new award is made, whichever is sooner, to allow sufficient time to recommend a new award and avoid any interruption in services. The vendors have agreed to allow for this extension to continue services. LEGAL CONSIDERATIONS: This item is approved as to form and legality and requires majority vote for Board approval. -SRT FISCAL IMPACT: There is no fiscal impact if the contract is extended. Current pricing will remain intact for six more months. GROWTH MANAGEMENT IMPACT: There is no Growth Management Impact associated with this action. RECOMMENDATION: To approve an extension the existing contract awarded under RFP #14-6229 “Installation & Maintenance of Traffic Signals and Roadway Lighting” with Southern Signal & Lighting, Inc, and Simmonds Electrical of Naples, Inc., for six months, through June 6, 2019, or until a new award is made, whichever is sooner.
