EXECUTIVE SUMMARY Recommendation to authorize the purchase of new Data Domain (EMC) hardware/software from CDWG for the County's data backup systems in the amount of$86,754.00 utilizing Florida State Contract 250- 000-09-1. OBJECTIVE: To procure Data Domain (EMC) hardware/software using an efficient and streamlined process for the County. CONSIDERATIONS: The County's Information Technology Department (IT) performs regular backups of the agency's data. The amount of data being stored by the agency has increased and backups are taking longer to complete and exceed our backup window. The IT Department would like to use Data Domain (EMC) hardware/software in the County's technology infrastructure for data backup. The Data Domain (EMC) backup hardware/software will shorten the amount of time used to backup the agency's data. The IT Department is requesting authorization to utilize Florida State Contract 250-000-09-1 for this purchase. This agreement leverages the purchasing power of the Florida State Contract 250-000-09-1 to provide best value pricing and terms. The IT Department has requested the quotes consistent with the Board's Purchasing Policy. The quotes have been provided to the Purchasing Department for final review and approval and attached in the County's Financial System (SAP) for pre-audit review by the Clerk's Finance Department. Staff recommends the use of this contract for the procurement of the aforementioned information technology hardware/software maintenance support at a competitive price, using an efficient and streamlined process for the County. The IT Department will issue a County purchase order, along with its standard terms and conditions to execute this order. Data Domain (EMC Inc), requires the purchase of new hardware and or maintenance support from approved venders. Attached is a list of approved venders with Florida State Contract 250-000-09-1. CWDG was the lowest bidder from the list of approved venders. The Purchasing Director has determined, per the Board's Purchasing Policy (XIV B), that the process conducted by the Florida State contract, is competitive in the market, and that the resultant contract has favorable terms to the County with respect to pricing, shipping, service and warranties, etc. In addition, the use of these established Florida State Contract 250-000-09-1 allows for the County to consolidate its purchases with other public agencies and streamline its own purchasing processes. FISCAL IMPACT: Funds in the amount of $86,754.00 are available in the Information Technology Department fiscal year 2012-2013 budget for this purchase. GROWTH MANAGEMENT IMPACT: There is no Growth Management Impact associated with this Executive Summary. LEGAL CONSIDERATIONS: This item has been reviewed by the County Attorney's Office, requires majority vote, and is legally sufficient for Board action. —CMG RECOMMENDATION: Authorize the Information Technology Department to purchase Data Domain (EMC) equipment from CDWG for the County's Data Domain (EMC) equipment in the amount of $86,754.00 utilizing the Florida State Contract 250-000-09-1.
