EAC Meeting Procedures Meetings are held on the first WEDNESDAY of each month, at 9:00 a.m. in the 3rd floor board room of building F at the Government Complex on Airport Road. EAB Agendas and packets are sent out on Monday the week before the meeting date. 1. AGENDA - LIBRARY DOCUMENT #4 Agenda Format, (Example A) [Staff will provide the petition numbers and other items to be placed on agenda. When a petition has had an exit meeting or a response of no objection from the Planning Services Staff, it can then be placed on the next agenda. ] 2 . MINUTES - LIBRARY DOCUMENT #16 Minutes Format, (Example B) Minutes of the previous meeting(s) are provided in abbreviated form by the Environmental Secretary. [Staff takes notes at meeting, Environmental Secretary puts them into minutes format. ] Copies are included in the packets to EAB members and others as distribution list provides. 3 . STAFF REPORTS - LIBRARY DOCUMENT #6. (Example C) As Staff ' s reviews are completed that portion of the report is typed. The location and project description are provided along with water management concerns and stipulations by the Engineering Staff. The Environmental Staff will provide environmental concerns and stipulations. When the report is complete and has been reviewed for changes or corrections, Senior Engineer sends standard memo <P-3> (Engineering Secretary prepares usually and copy of Staff Report to the Planner. Senior Engineer reviewing the petition coordinates exit meeting with Planner. A copy of standard memo and Staff Report is kept in the current EAB file pending the preparation of the next agenda. 4 . NOTIFICATION LETTERS - LIBRARY DOCUMENT #5 and or <X-A> (Example D) This is the letter to the agent of each petition indicating that the petition will be heard by the EAB on a specific date. Enclose with the letter a copy of the Agenda and the Staff Report. The owner is sent a copy of letter for information on the petition. 5. BACK UP MATERIALS - Complete review packets with the correct Water Management Plan (dated) are requested for the EAB Members (7) . ****************************************************************** Order of Agenda Packets: Agenda, Minutes, Staff Report attached to backup materials (in order as they appear on agenda) any other information as may be needed for other items on agenda. EAB PROCESSING EXAMPLE PROCESSING SCHEDULE DATE PROCESS 8/4/92 Receipt of project for review. Determination of sufficiency of application. Decision if project is required to be heard by EAB for environmental concerns. Engineering and Environmental begin review of project. Send memo to request more information to coordinating Planner. Send memo of approval with stipulations to coordinating Planner. 8/11/92 Receipt of all requested review materials. Site visit if required completed/scheduled. 8/18/92 Exit meeting with coordinating Planner. Stipulations agreed to and requests for 8 sets of (revised) complete review materials for EAB members ' packets. 8/21/92 Requested review materials for EAB members received by Project Review Services along with applicant agreement to stipulations. EAB date scheduled. 8/25/92 Agenda completed and EAB members' packets mailed out. Petitioners letters of notification with staff reports mailed out. 9/2/92 EAB meeting.
