EXECUTIVE SUMMARY
Recommendation to adopt a Donated Materials Policy for the Libraries, specifying age and
condition of acceptable items and acknowledging their possible dispositions.
OBJECTIVE: To identify and communicate to the community the type, age, and condition of used
materials suitable for donation and outline the possible subsequent uses of those items.
CONSIDERATIONS: Collier County Public Library receives donations of used materials on a daily
basis. Often the materials are moldy, dated, damaged, contain inaccurate information, or are in an
obsolete format such as cassette and/or VHS. A considerable amount of staff time is necessary to sort
donations and dispose of unsuitable donations. Staff would like to better communicate to the public which
donations are beneficial and which add little value to Library operations.
The following proposed policy was presented to and unanimously approved by the Library Advisory
Board on December 9, 2015:
Collier County Public Library Used Book Sale Donations Policy
Your generosity in donating books to our libraries helps our Friends of the Library fund
programs. Most items donated are offered to the public at book sales. Leftover book sale items
are offered to area non-profit agencies or recycled. Material donations must be brought in through
the main entry at any branch location during operating hours. Books left outside are susceptible to
weather damage and will be discarded.
Items accepted for donation:
Fiction or non-fiction hardcover or paperback books that are two years old or newer
Like new music CDs, audio books on CD, and DVDs with the original case and jacket
Items not accepted for donation:
Items that are dusty, moldy.worn, or torn
Condensed books,Reader's Digests, magazines and newspapers (including National Geographic)
Textbooks, cassettes,VHS, or encyclopedia sets
Receipts are available if requested, but the library cannot assess a dollar value to any donations.
At the discretion of the Library Division Director or her designee, donated materials may be disposed of
in any of the following ways:
1. Added to the Library collection (though this is a rare occurrence),
2. Included in the inventory for the annual book sale conducted by the Library,
3. Turned over to the Friends of the Library for sale from the used book carts in the Libraries,
4. Donated to area non-profits, or
5. Recycled.
Upon Board approval, staff will post the policy on the Library's website and at each assigned donation
drop-off location within the Library system.

LEGAL CONSIDERATIONS: This item has been reviewed by the County Attorney. is approved as to
form and legality, and requires majority vote for approval. -JAK
RECOMMENDATION: That the Board of County Commissioners adopts the Donated Materials Policy
for the Libraries as outlined above.
